LAST UPDATED: SEPTEMBER 2026

1. Purpose

This Participant Code of Conduct (Code) applies to every person participating in a course, coaching session, workshop, cohort, online community or other service provided by Albirway Pty Ltd ABN 13 160 919 737 through img.coach.

The purpose of this Code is to maintain a professional, respectful, confidential and effective educational environment.

Participation in img.coach Services is conditional upon compliance with this Code and the img.coach Terms and Conditions.

2. Professional and respectful conduct

Participants must communicate and behave professionally and respectfully toward:

  • (a) coaches;
  • (b) educators;
  • (c) staff;
  • (d) other participants;
  • (e) guest presenters; and
  • (f) other persons involved in the Services.

Professional disagreement and constructive discussion are welcome. Personal attacks, intimidation or disruptive conduct are not.

3. Harassment and discrimination

Participants must not engage in:

  • (a) bullying;
  • (b) harassment;
  • (c) sexual harassment;
  • (d) threatening or intimidating behaviour;
  • (e) discriminatory abuse;
  • (f) vilification;
  • (g) stalking;
  • (h) deliberate humiliation; or
  • (i) other seriously inappropriate conduct.

This applies to conduct occurring during sessions and to communications between participants arising from participation in img.coach.

4. Group confidentiality

Group coaching depends upon participants being able to communicate in an appropriate educational environment.

Information of a personal, professional or sensitive nature disclosed by another participant during a session must not be published, distributed or shared outside the group without that person's permission, except where disclosure is required by law or reasonably necessary to report serious misconduct or a safety concern.

Participants should nevertheless exercise appropriate judgment and should not disclose information that they are not authorised to disclose.

5. Patient confidentiality

5.1 Strict requirement

Participants must never disclose identifiable patient information during an img.coach session or through an img.coach system.

5.2 De-identification

Where a clinical example or experience is discussed for educational purposes, it must be appropriately anonymised or de-identified.

Do not disclose unnecessary details that could reasonably enable identification of a patient.

5.3 Participant responsibility

Each participant remains personally responsible for complying with applicable professional, ethical, employment, privacy and confidentiality obligations.

6. Recording strictly prohibited

6.1 No participant recording

Participants must not, without prior written permission from img.coach and any other consent required by law:

  • (a) audio-record a session;
  • (b) video-record a session;
  • (c) screen-record a session;
  • (d) photograph or screenshot session content;
  • (e) use an automated transcription or meeting-recording service;
  • (f) livestream a session;
  • (g) capture another participant's image or voice;
  • (h) copy or extract session chat for unauthorised purposes; or
  • (i) otherwise create a permanent recording or reproduction of a session.

This prohibition applies to both group and one-to-one sessions.

6.2 img.coach recordings

img.coach may record certain group sessions after providing appropriate notice and obtaining any consent required by law.

The fact that img.coach is authorised to record a session does not authorise a participant to record it.

img.coach does not ordinarily record one-to-one coaching sessions.

6.3 Serious breach

Unauthorised recording is regarded as a serious breach of this Code and the Terms and Conditions.

Where we reasonably believe that unauthorised recording has occurred, we may immediately suspend the participant while the matter is investigated.

A substantiated serious breach may result in termination of access to img.coach Services.

Albirway Pty Ltd reserves all rights to seek available legal remedies where an unauthorised recording, reproduction, publication or distribution infringes intellectual property, confidentiality, privacy or other legal rights.

7. Intellectual property and course materials

Materials supplied through img.coach are provided for the participant's personal educational use.

Participants must not, without written permission:

  • (a) reproduce course materials;
  • (b) distribute them to other people;
  • (c) upload them to websites, social media, cloud-sharing platforms or messaging groups;
  • (d) sell or commercially exploit them;
  • (e) reproduce examination-preparation resources for another course or business;
  • (f) share paid-access links or login credentials; or
  • (g) use img.coach materials to establish or provide a competing commercial coaching or educational service.

Limited personal notes may be made for private study, provided they are not distributed or commercially exploited.

8. Account sharing

Accounts, booking links and paid course access are personal to the registered participant.

You must not permit another person to impersonate you, attend in your place or use your paid account or course access without our written approval.

9. Honest participation

Participants must provide materially accurate information where that information is relevant to enrolment or delivery of the Service.

Participants must not falsely represent:

  • (a) their identity;
  • (b) medical qualifications;
  • (c) registration status;
  • (d) examination history;
  • (e) employment status; or
  • (f) professional credentials.

10. Examination and assessment integrity

img.coach provides preparation and coaching.

Participants must not use img.coach to facilitate cheating, fraud, impersonation or other improper conduct in an official examination, assessment, interview or regulatory process.

Participants must not request that a coach obtain, reproduce or distribute confidential examination material unlawfully or contrary to applicable examination rules.

Educational simulations and practice questions must not be represented as official examination content unless they are lawfully and expressly identified as such.

11. Appropriate use of AI

Where img.coach provides an AI-assisted feature, participants must use it responsibly.

Participants must not submit:

  • (a) identifiable patient information;
  • (b) confidential examination material that they are prohibited from disclosing;
  • (c) another person's personal information without authority;
  • (d) confidential employer information without authority; or
  • (e) unlawful material.

AI-generated feedback is educational assistance only and must not be represented as official medical, regulatory or examination advice.

12. Session participation

Participants should:

  • (a) attend punctually;
  • (b) prepare appropriately;
  • (c) follow reasonable instructions from the coach or facilitator;
  • (d) avoid repeatedly interrupting others;
  • (e) provide other participants a reasonable opportunity to participate;
  • (f) use professional language; and
  • (g) avoid behaviour that materially interferes with delivery of the session.

A coach may mute, remove or otherwise manage a participant where reasonably necessary to maintain an effective session.

13. Contact between participants

Participants must not use contact details obtained through img.coach to:

  • (a) harass another participant;
  • (b) send persistent unwanted communications;
  • (c) engage in unsolicited commercial promotion;
  • (d) improperly recruit clients;
  • (e) distribute course materials;
  • (f) seek confidential information; or
  • (g) engage in unlawful conduct.

Participants may communicate voluntarily for legitimate study and professional-support purposes provided the communication remains respectful.

14. Privacy

Participants must respect the privacy of other participants, coaches and staff.

Personal information obtained through participation in img.coach must not be collected, published or used for unrelated purposes without appropriate authority.

15. Social media and public comments

Participants remain free to express genuine opinions about their experience with img.coach.

However, participants must not publish:

  • (a) confidential information;
  • (b) another person's personal information without authority;
  • (c) unauthorised recordings;
  • (d) substantial reproductions of protected course materials;
  • (e) knowingly false statements of fact; or
  • (f) material that is otherwise unlawful.

Nothing in this Code is intended to prevent a participant from exercising a lawful right, making a legitimate complaint, reporting misconduct to an appropriate authority or giving an honest review.

16. Breaches of this Code

Depending upon the nature and seriousness of conduct, we may:

  • (a) give an informal direction;
  • (b) issue a written warning;
  • (c) remove a participant from a particular session;
  • (d) restrict particular functionality;
  • (e) temporarily suspend participation;
  • (f) require specified conduct to cease;
  • (g) terminate access to some or all Services; or
  • (h) where appropriate, refer conduct to a relevant authority or seek available legal remedies.

We will act reasonably having regard to the seriousness, evidence and circumstances of the alleged breach.

Serious conduct — including unauthorised recording or distribution, deliberate disclosure of identifiable patient information, serious harassment, fraud, significant intellectual-property infringement or conduct creating a material safety or security risk — may justify immediate suspension or termination.

17. Refunds following termination

Termination for a participant's substantiated serious breach does not automatically entitle that participant to a refund for Services already properly provided.

Any entitlement concerning Services not yet supplied will be determined under the Terms and Conditions and applicable law, including the Australian Consumer Law.

Nothing in this Code excludes a statutory consumer right that cannot lawfully be excluded.

18. Reporting concerns

A participant who experiences or witnesses conduct that may seriously breach this Code should contact:

office@img.coach

Reports should contain sufficient information for us to understand and investigate the concern.

We will seek to handle reports appropriately having regard to confidentiality, procedural fairness, participant safety and applicable law.

19. Acceptance

By participating in an img.coach Service, you agree to comply with this Code together with the Terms and Conditions applicable to the Service.
